We are seeking a highly organized, detail-driven HVAC Assistant Project Manager to support active construction projects through disciplined tracking, coordination, and execution.

This is an in-office, operations-focused role responsible for keeping projects moving by managing materials, controlling scope, and supporting Project Managers in real time. This is not a passive position; this role directly impacts project profitability, schedule, and client relationships.

Core Responsibilities

  • Customer & Vendor Coordination
    • Facilitate client communication related to scope, changes, and scheduling
    • Support negotiation efforts with customers and vendors as directed
    • Maintain professional, clear, and timely communication at all times
  • Material Tracking & Procurement
    • Track all material orders from request through delivery
    • Coordinate with vendors and field teams to ensure accuracy and timeliness
    • Identify and resolve shortages, delays, and discrepancies proactively
  • Contract & Scope Management
    • Maintain clear understanding of project scope and contract requirements
    • Identify scope gaps, overlaps, and potential exposure
    • Enforcement of contract terms throughout the project lifecycle
  • Change Orders
    • Track, price, and process change orders with speed and accuracy
    • Ensure all changes are documented, approved, and billed
    • Work closely with PMs to protect budgets and avoid missed revenue
  • Project Manager Liaison
    • Act as the operational extension of the Project Manager
    • Keep PMs informed with real-time updates, risks, and status reports
    • Help drive accountability across vendors, field teams, and internal staff

Requirements
  • Minimum 2-year college degree (Construction Management, Business, or related preferred)
  • Minimum 2 years of experience in HVAC, mechanical or construction industry experience
  • Strong ability to track data, manage details, and stay organized under deadlines
  • Comfortable working with numbers, budgets, and project documentation
  • Proficient in Microsoft Office (Excel required); experience with project management or accounting software is a plus
  • Clear communicator with the ability to handle multiple priorities simultaneously

Work Expectations
  • Full-time, in-office role based in Fort Myers
  • Fast-paced, deadline-driven HVAC/Mechanical construction environment
  • High level of accountability, this role is measured by accuracy, follow-through, and execution

What Success Looks Like
  • HVAC and mechanical materials arrive on time and correct
  • Change orders are captured, approved, and billed without delay
  • Project Managers are supported, informed, and never chasing information
  • Scope is clearly tracked and protected

Compensation
  • $55,000 – $75,000 base salary, depending on experience +
  • Bonuses and Performance-based growth tied to accuracy, execution, and increased responsibility.
